1. Administrator and contact

The organisation responsible for personal information described in this notice is Lumethariqenessa Cricket Club Ltd, referred to as “the club”, “we” or “us”. Its correspondence address is 123 Cricket Lane, London, SW11 4AB, United Kingdom. For privacy questions, requests or concerns, contact info@lumethariqenessa.com and identify the matter as a privacy enquiry.

This notice concerns lumethariqenessa.com and information provided in connection with club enquiries and activities. The principal framework is the UK General Data Protection Regulation, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations, as amended. The EU GDPR applies only where the relevant activity falls within its territorial scope; visiting from another country does not, by itself, determine that question.

2. What information is involved

You can read club information without creating an account. The enquiry area helps you prepare a message for your email app. If you then choose to send it, the information you provide may include your name, email address, country or region, cricket experience, availability and the content of your message. Your email provider handles your outgoing correspondence under its own privacy terms. Please provide only what is relevant to your enquiry. There is no requirement to provide personal information simply to browse the site.

When an enquiry develops into participation, additional information may be needed, such as the appropriate playing group, emergency contact details, attendance or membership arrangements. We explain material additional requirements when those details are requested. The public enquiry area is not a payment service and does not request card numbers, identification documents or account passwords.

Website hosting can generate routine access records, including a network address, request time, page requested and browser information. These records support delivery and protection of the website. We do not use this site for advertising profiles, cross-site tracking or automated scoring of prospective members.

3. Why information is used

The purpose and lawful basis depend on the interaction:

  • Answering an enquiry: our legitimate interest in responding to questions, or taking steps you request before entering a membership or activity agreement.
  • Organising an agreed activity: performance of the relevant agreement, including practical arrangements and essential service messages.
  • Protecting people and the club: legitimate interests in safety, appropriate administration and preventing misuse; a legal obligation where a specific duty applies.
  • Optional publicity or marketing: consent where required, obtained separately from a general enquiry and capable of being withdrawn.
  • Legal records and disputes: compliance with applicable duties or legitimate interests in establishing, exercising or defending legal claims.

Where legitimate interests are used, we consider whether the purpose can be met with less information and balance it against your rights and reasonable expectations. A request to contact the club is not permission for unrelated marketing. Any information required for a particular agreement will be identified before you commit; without necessary contact or participation details, that particular request may not be possible to complete.

4. Where information comes from

Most information comes directly from you. A parent, guardian or authorised representative may contact the club on another person’s behalf. Participation records may also arise from ordinary club administration. If we receive personal information from a competition organiser or another source, we will provide the relevant privacy information within the applicable legal timescale, unless a lawful exception applies.

5. Children, welfare and sensitive information

A parent or guardian should make initial enquiries about a child’s participation. Please do not include a child’s full date of birth, school, medical history or private safeguarding details in a general message. Ask for an appropriate contact route if additional support or a welfare concern needs to be discussed.

If health or other special-category information is necessary for safe participation, both a lawful basis and an additional condition for that category of information are required. Access must be limited to people who need it for the purpose. Parental involvement does not remove a child’s own privacy rights; their understanding, welfare and best interests remain relevant. We do not knowingly use children’s information for advertising profiles.

6. Who may receive information

Relevant information may be made available to authorised club officers, coaches or volunteers who need it to answer an enquiry or organise an agreed activity. Suppliers providing hosting or communications may process information on our behalf under appropriate arrangements. We do not sell enquiry or membership details.

A limited disclosure may be necessary to a competition organiser, insurer, professional adviser, safeguarding body, emergency service, regulator or court where there is an appropriate lawful reason. Information is not shared merely because someone requests it. The purpose, authority of the recipient and amount of information required must be considered.

7. International transfers

Where a supplier or recipient handles personal information outside the United Kingdom, the applicable transfer rules must be satisfied. Depending on the destination and circumstances, this may involve UK adequacy regulations, approved contractual safeguards and the required assessment, or a specific lawful exception. You may ask about safeguards relevant to your information and request a copy, with confidential details appropriately protected.

8. How long information is kept

Different records need different retention periods. An ordinary enquiry is needed while it is being answered and for a proportionate period to resolve related follow-up. If it becomes a membership or activity matter, relevant information may become part of that ongoing record. It should not be retained indefinitely simply because a person once contacted the club.

Retention decisions consider whether the purpose has ended, outstanding queries, the nature of participation, applicable accounting duties, safeguarding needs and the time during which a legal claim may reasonably arise. Restricted retention may be necessary for an active complaint or legal hold. Records are deleted or anonymised when no continuing justification remains. You may request information about the criteria applying to a particular record.

9. Website preferences and security

The club pages use no advertising or analytics trackers, set no cookies and do not keep your enquiry in persistent browser storage. Preparing a message does not enrol you in a mailing list. The Cookie Policy explains the site’s approach to browsing and display preferences.

Information should be protected through proportionate access restrictions, secure handling and appropriate supplier arrangements. We limit access according to the task and assess suspected incidents. Where a personal-data breach meets the legal reporting threshold, the relevant authority and affected people will be informed as required. Please avoid unnecessary sensitive details in ordinary email correspondence.

10. Your choices and rights

Depending on the circumstances, you can request access to your personal information, correction of inaccurate details, erasure, restriction of processing or a portable copy of information covered by that right. Where consent is the basis, you can withdraw it without affecting processing that was lawful before withdrawal. Some information may need to be retained despite a request, for example to meet a legal duty; we will explain an applicable restriction.

You may object to processing based on legitimate interests for reasons connected with your situation. You may object to direct marketing at any time. You do not have to accept marketing to ask about cricket. The website does not make decisions about membership or participation solely by automated means.

Contact us using the details above. You do not need a special form or legal wording. We normally respond without undue delay and within one month, subject to the rules on necessary identity checks and permitted clarification. Where a lawful extension is needed for a complex request or several requests, we will explain it within the initial period. Requests are normally free; any lawful exception will be explained.

11. Complaints and updates

If you are concerned about your information, please explain the issue to the club so it can be investigated. You also have the right to raise a concern with the Information Commissioner’s Office, the UK data-protection regulator, and to seek a judicial remedy. Where EU GDPR applies, you may also contact the competent supervisory authority in the relevant EEA country.

This notice will be revised when relevant practices or legal requirements change. The date above identifies the current version. Material new uses of information will be explained before they begin, and consent will be sought where required. The Terms & Conditions explain the wider conditions of using this website.
